When a package arrives at the mailroom or central receiving area, it is immediately registered with Track Scan. The barcode or tracking number is scanned, and the arrival date is set automatically.

Optionally, the condition of the package can be documented via camera – right at the point of entry, without any paperwork. The courier then confirms the handover with their signature. This provides seamless proof of arrival.

Assignment to a specific internal recipient does not take place at this stage – the package is initially registered as received and awaits handover.

Benefit: Every arrival is immediately logged – with a timestamp, courier signature, and optional photo of the package condition.

When a package is handed over internally, the employee scans it in Track Scan and assigns it to the destination room or the recipient. This step is where assignment and delivery happen simultaneously.

The recipient confirms receipt with their signature directly in the application. Here, too, photos of the package can be taken if necessary – for example, to document its condition upon delivery.

A typical morning with Track Scan

In the morning, a package arrives at the mailroom. The employee scans it, optionally takes a photo of its condition, and has the courier sign for it. Later, when the package is delivered, it is assigned directly to a room and a recipient – who then acknowledges receipt. If a package is still open at the end of the day, Track Scan shows it immediately: including the carrier and arrival time, so that targeted inquiries can be made.

Which companies is Track Scan suitable for?

Track Scan is suitable for companies, clinics, and institutions where packages are delivered internally on a daily basis – especially when receipt and delivery are handled by different people and there is a lack of transparency regarding the package's journey. The solution is particularly relevant in larger building and campus structures with many destination rooms.

What happens when a package is received?

Upon receipt, the package is scanned and recorded in Track Scan. Optionally, the condition of the package can be documented via camera. The courier then signs for the handover digitally. Assignment to an internal recipient does not occur at this stage – that happens only during final delivery.

When is it determined who receives a package?

Assignment to a recipient or a destination room takes place at the time of handover – i.e., when the package is delivered internally. During this step, the package is scanned, assigned to the recipient or room, and the delivery is acknowledged by the recipient.

What information is visible in the overview?

Does Track Scan need to be connected to our ERP system?

No. Track Scan is a standalone etiscan solution and works without an ERP connection. Integration into existing systems is possible but not a requirement. This allows for a quick rollout without extensive IT projects.

What devices are required?

Track Scan runs on Android mobile devices as well as standard smartphones. For high-volume environments, we recommend rugged mobile devices. We would be happy to advise you on the right hardware through our hardware partnership.

How is Track Scan currently available?

Track Scan is currently transitioning from pilot and demo deployments to a more widely available product.
